Building Your First SAP Crystal Report

So you’ve installed your software and connected to your datasource, what’s next on the agenda for compiling an insightful report?

Databases vary in complexity but relational ones (which form the vast majority) all contain tables, and fields within those tables hold your data. You need to identify which tables and fields hold the data you’re interested in, and how to join them up.

Finding the tables is easiest if you have some documentation to tell you where to look: a manual or database diagram from the supplier is ideal. In the absence of that, detective work comes to the fore. Has anyone else had your requirements, and posted about them on the internet? If you open your connection to the data in Crystal and look down the list of tables, do any of them have names related to your subject?

Once you’ve found the tables, then identifying the fields you need and how to join them is the next step. Again this could come down to reading the field labels and making educated guesses – but we have all had to employ trial and error before now.

Tables are joined by certain key fields (eg customer number, product codes or arbitrary ID fields) and finding these will unlock even more intelligence in your reporting. Once you have these pieces of knowledge in your possession then you can start to create interesting and insightful SAP Crystal Reports documents.
